Certified Translation for Immigration Documents

Pursuing legal entry into the United States is an important and often life-changing step. At TransForma, we are honored to assist individuals and families with accurate translation of the documents that support this process. The following Terms of Service will help ensure that we can deliver high-quality service to every customer that we serve.

1. It is your responsibility to know the specific requirements of government and official agencies and courts where the requested translation will be used. TransForma does not offer refunds on translations that are not accepted by government or official agencies or courts because of lack of direction by you regarding any specific requirements as to the documents. You must communicate those requirements to us at the time you request a quote.
2. Corrections of translated documents prepared by TransForma will be made at no extra cost if TransForma has committed an error as to the accuracy or completeness of the translation, but TransForma cannot be held liable for errors due to illegibility or ambiguous content. We will make every effort to address such issues in consultation with you prior to completing the translation.
3. TransForma accepts the following file formats: PDF, JPEG, DOCX, PNG, or TIFF. Please note: Photos will only be accepted for one-page documents, and the photo must be taken against a dark background with appropriate lighting. The full page must be the photo, with no edges or corners cut off. There must be no obstructions (such as a finger covering the lens), and no cut-off text. Illegible documents (defined as those with faded text or handwritten documents) must be accompanied by a transcript that offers the exact wording that appears in the source document in a legible manner. TransForma will not translate and/or certify text from a transcript that does not appear in the source document. We will only proceed with translation of documents that we deem are “translation-ready”.
4. Prompt delivery of certified translations will be predicated on receipt of translation-ready documents (as per item “3”); when documents are moderately to severely illegible, a transcript of the source text must be provided. Any delay in receiving source documents in a suitable format will affect the delivery timeline.
5. Certification is a critical step in the translation of personal documents. TransForma charges $40 per document (not per page) as USCIS requires a separate certification for each translated document. Notarization is included on the advice of our immigration attorney clients, all of which require us to do this. We know of instances where applications have been returned due to lack of notarization.
6. TransForma can deliver translations within 1-2 business days as it pertains to one-page documents that meet the criteria defined in Items “3” and “4” of these Terms of Service. Documents longer than one page will be quoted based on factors such as length, complexity of text and others.
7. A page is defined as 250 words of text and symbols. Any additional text beyond 250 words will be charged at the rate of .10 cents per word for Spanish text; rates will vary for other languages.
8. All documents sent via forms on our website and via email are sent to us using encrypted channels. Once received, your information is kept confidential and secure within our production environment. Your documents and personally identifiable information will be kept strictly confidential.
9. TransForma uses artificial intelligence to manage workflows and prepare documents. Translation and review of your documents is done by vetted, qualified human linguists.
10. Once TransForma delivers the documents by email or web download and you have confirmed receipt, the project is considered finished. If you would like delivery of physical documents, we will send them via regular mail and there may be an additional fee. Please take care to download the files and store them appropriately; we operate at a volume level and requests for additional deliveries may not be met in a timely manner. Previously delivered documents can be re-delivered for an additional fee of $10.00 per delivery.
